Part 1 — Privacy Policy
How we collect, use, and protect your information
Information We Collect
We collect only what is genuinely needed to process your donation, issue official receipts, and keep you updated on our programmes. Here is exactly what that includes:
-
Personal Details Name, email address, phone number, and postal address — collected when you register as a donor, volunteer, or intern.
-
Donation & Tax Data Payment amount and transaction reference, along with your PAN Card number where required under Indian law to issue an 80G tax exemption receipt.
-
Communication Records Messages sent via email, our website contact form, or WhatsApp — retained only to respond to your queries and maintain volunteer / intern correspondence records.
How We Use & Protect Your Data
Your information is used solely for the following NGO-related purposes:
-
Processing Donations Verifying payments via Cashfree or Razorpay and matching them to donor records.
-
Issuing Tax Receipts Generating and emailing 80G certificates under PAN AAHCD8274H, as required by the Income Tax Department of India.
-
Programme Updates Sending impact reports, event invitations, and milestone updates to donors and volunteers who have opted in.
-
Volunteer & Intern Management Maintaining joining forms, attendance logs, and completion certificates as part of our internal records.
Cookies & Website Tracking
Our website (dflwf.com) uses a small number of standard tracking tools to help us understand how visitors find and use our pages. These include:
-
Google Tag Manager & Analytics Tracks aggregate page visits, traffic sources, and general user behaviour to help us improve content. No personally identifiable information is stored in these analytics.
-
AiSensy WhatsApp Widget Powers the chat button on our site. Clicking it opens WhatsApp and may collect your phone number and message content, governed by AiSensy's and WhatsApp's own privacy policies.
-
Session Cookies Short-lived cookies that keep form sessions active. They expire when you close your browser and are not used for advertising or retargeting.
Most browsers let you block or clear cookies in Settings. Disabling cookies may affect some forms on our site but will not prevent you from donating.
Third-Party Payment Processors
We use Cashfree Payments and Razorpay as our payment gateways. When you click Donate:
-
You are redirected to a secure, encrypted payment page hosted by the respective processor.
-
Your card and bank details are handled entirely within their PCI-DSS–compliant environment — DFLWF never sees or stores this data.
-
Each processor operates under its own privacy policy, which governs how they handle your payment information.
Your Data Rights
You have the right to:
-
Access your data Request a summary of the personal information we hold about you.
-
Correct inaccuracies Ask us to update details that are wrong or out of date.
-
Opt out of communications Unsubscribe from programme updates at any time — we will remove you from our mailing list within 7 working days.
-
Request deletion Ask us to delete your personal data, subject to legal retention requirements such as donation records mandated by the Income Tax Department.
To exercise any of these rights, write to us at [email protected]. We will respond within 14 working days.
Part 2 — Cancellation & Refund Policy
Our guidelines on the finality of charitable donations
General No-Refund Policy
All donations to DFLWF are voluntary and final. We do not offer refunds or cancellations once a donation has been successfully processed. Funds are immediately allocated to active programmes — warm meals, classroom supplies, tree saplings — and cannot be recalled once they are in motion.
Exceptional Circumstances
We will consider a refund request only in the event of a verified technical or processing error. Qualifying circumstances include:
-
Duplicate Transactions Your account was charged more than once for the same donation due to a gateway malfunction, confirmed by the payment processor's records.
-
Unauthorised Transactions A donation was made using your payment method without your knowledge or consent. This is subject to investigation and may require documentation from your bank.
To report either situation, email [email protected] with your transaction ID, date, and amount. Our team will review and respond within 7 working days.
Tax Exemption Receipts (80G)
DFLWF is registered under Section 80G of the Income Tax Act (PAN: AAHCD8274H), allowing donors to claim a 50% deduction on their taxable income. An 80G certificate is emailed to you immediately after every successful donation.
If you have not received your 80G receipt within 48 hours of donating, write to [email protected] with your transaction details and we will reissue it promptly.
